Scheduling report subscriptions

Automatically send reports by email on a daily, weekly, or monthly schedule.

Report subscriptions deliver your reports by email on a recurring schedule. Set them up once, and your stakeholders get fresh data in their inbox without logging into Genuics.

Creating a subscription

  1. Open the report you want to schedule. Make sure it is configured and producing the results you expect -- the subscription sends exactly what the report shows when it runs.

  2. Click the Subscribe button (calendar icon) in the report toolbar. The subscription modal opens.

  3. Add Recipients. Enter one or more email addresses separated by commas. Recipients do not need a Genuics account -- anyone with a valid email address can receive the report.

  4. Choose a Frequency:

    • Daily -- the report is sent every day at the time you specify.
    • Weekly -- pick a day of the week (Monday through Sunday) and a time.
    • Monthly -- pick a day of the month (1--28) and a time.
  5. Set the Time (in UTC) for when the report should be generated and sent.

  6. Choose the Format for the attached file:

    • Excel (.xlsx) -- formatted spreadsheet with column headers and styling.
    • PDF -- a clean, print-ready document.
    • CSV -- plain comma-separated values, ideal for importing into other tools.
  7. Click Create Subscription. The subscription is now active and will run on the next scheduled date.

Viewing active subscriptions

When a report has one or more active subscriptions, the Subscribe button in the toolbar appears highlighted. Click it to open the subscription modal and see all subscriptions for that report, including:

  • Recipients -- who receives the email.
  • Frequency -- how often it sends.
  • Format -- the attachment type.
  • Last sent -- the date and time of the most recent delivery.
  • Next run -- when the subscription will fire next.

Editing a subscription

  1. Open the subscription modal by clicking the Subscribe button on the report.

  2. Find the subscription you want to change and click Edit.

  3. Update the recipients, frequency, time, or format as needed.

  4. Click Save to apply the changes. The next run time will recalculate automatically.

Pausing and resuming subscriptions

If you need to temporarily stop a subscription without deleting it, you can toggle it off. Click the active/inactive toggle next to the subscription. A paused subscription keeps its settings but will not send until you re-enable it.

This is useful during data migration periods, holidays, or when you are restructuring a report and do not want half-finished results going out.

Deleting a subscription

To permanently remove a subscription, open the subscription modal, find the subscription, and click Delete. This cannot be undone -- if you want to resume later, pause the subscription instead.

What the email looks like

Recipients receive an email with:

  • The report name as the subject line.
  • A brief summary showing when the report was generated and how many rows it contains.
  • The report attached as a file in the format you chose (Excel, PDF, or CSV).

The email is sent from Genuics, so ask your recipients to check their spam folder if they do not see it on the first delivery.
